AI bot techniques for accountants
Practical, low-risk ways CPAs, bookkeepers, tax preparers and controllers are using AI bots. Each one keeps a person in charge of the result.
1. Spreadsheet formulas and macros
Describe the columns and the result you want; ask for an Excel or Google Sheets formula plus a one-line test case you can check by hand.
2. Reconciliation helpers
Ask for a Python or Power Query script that matches bank and ledger exports on date, amount and reference, and lists the unmatched rows. Run it yourself; never let the bot "eyeball" totals.
3. Explain a standard in plain English
Paste the section of guidance you are reading and ask for a summary and examples. Then confirm against the source text.
4. Client communication
Draft engagement letters, document request lists and year-end reminders from your templates.
5. Variance commentary
Give the bot a budget-vs-actual table and ask for draft commentary that cites each line it mentions.

Accuracy and ethics, every time
- Confidentiality: never paste client, patient, student, employee or customer personal data (PII/PHI) into a public bot. Use tools your organization has approved, with contract terms that cover data use, or remove identifiers first.
- Verify everything: bots can invent citations, case law, statistics, doses, code sections and quotes that look real. Check each one against the original source before you rely on it.
- Not professional advice: these tutorials teach you how to use AI tools. They are not legal, medical, tax, financial or engineering advice.
- A human professional is responsible: the licensed or accountable person reviews, decides and signs. The bot drafts; you own the result.
- Prices change: we don't list product prices. Check each vendor's official pricing page.
