AI workflows for accountants: bot drafts, people approve
A workflow is where bots pay off: the bot does the first draft, and the people with the license, the context and the accountability check it.
Month-end close assist
- Export trial balance and subledgers.
- Run your reconciliation script (written with bot help, reviewed by you).
- Ask the bot to draft variance commentary from the output.
- Controller reviews, edits and approves.
Tax season client letters
- Keep templates in your practice software.
- Use an approved bot to personalize tone and checklists only.
- Insert current figures from IRS.gov yourself.
- Preparer reviews before sending.
Make it stick
- Write down which tools are approved and for what data.
- Keep the bot's draft and the final version, so you can see what reviewers changed.
- For a month, mark each draft: correct, minor fix, or wrong. If "wrong" isn't rare, change the prompt or stop using it for that task.
Accuracy and ethics, every time
- Confidentiality: never paste client, patient, student, employee or customer personal data (PII/PHI) into a public bot. Use tools your organization has approved, with contract terms that cover data use, or remove identifiers first.
- Verify everything: bots can invent citations, case law, statistics, doses, code sections and quotes that look real. Check each one against the original source before you rely on it.
- Not professional advice: these tutorials teach you how to use AI tools. They are not legal, medical, tax, financial or engineering advice.
- A human professional is responsible: the licensed or accountable person reviews, decides and signs. The bot drafts; you own the result.
- Prices change: we don't list product prices. Check each vendor's official pricing page.
